How Does The Smart Wallet Work?

Great Question!! We designed it to track purchases, appointments booked, used, and remaining. This means when someone buys a package, let's say a 10 hour energy package, the system updates your customers profile. They book a 2 hours session and have used 4 hours. It would look something like this:

Energy Hours Purchased: 10

Energy Hours Booked: 2

Energy Hours Used: 4

Energy Hours Remaining: 4

If your client cancels their 2 hour appointment, the system will remove 2 hours from their booked status and update the remaining hours to 6 to ensure their wallet credit is solid.

Our system also calculates Appointment Cancels, Appointment No-Shows, Lifetime Spend so you have insights on your customer base.

How Do You Accommodate All Of My Available Chairs Into Your Booking System?

It's part of the secret sauce! We can't tell you how, but we will need access to a Gmail account you've created. It can be a paid Gsuite you already have or a free Gmail account you create. We take care of the rest!

How Does 2-Way SMS Conversations Work?

We setup a digital phone number that's integrated with our system. We obtain mobile carrier permission to send business SMS on your behalf. This allows our system to send system generated SMS (like appointment reminders) and gives you the ability to reply to a customer when they send your business a SMS.

I Have A Phone Number At Our Location, Can I Use It With Your System?

Yes and no.

We are unable to connect your existing phone number to our automation system to send SMS because there is a certain way the system number has to be registered with the mobile carrier board to allow SMS to be delivered. This is because mobile carriers have cracked down on those annoying spammers and in doing so, they have made it a little more complicated for legitimate businesses (like yours and ours) to be approved to send SMS messages.

Yes we can set the new automation phone number in our system to forward any calls that may come in to your existing phone number. This way there's no confusion and calls coming to location doesn't change.

Are There Any Additional Charges For Phone Calls, SMS, Or Any Other Features?

Each time a phone call is made, received, SMS/texts are sent or received, emails, and AI content creation it costs us money...HOWEVER...as part of your plan you receive a $75 monthly wallet credit that goes towards your usage. This wallet covers communications and generative (AI) system usage so you don't have to think about extra charges.

We've found the $75 credit we give covers most business uses each month. If you happen to use the full credit before your monthly cycle concludes, then your account becomes Pay-As-You-Go (PAYG) until your next monthly cycle begins. This means your credit card will be charged in $10 increments, unless you change it, as needed to cover your PAYG usage. Then your wallet begins again with the $75 credit once your new monthly cycle begins.

During your trial period, you will receive a $30 wallet credit until your normal billing cycle begins. If you use more than $30 during your trial period, your account will become PAYG until your normal billing cycle begins.

Here Is the Pay-As-You-Go Communication & Generative Pricing:

Outbound calls $0.042 per minute

Inbound calls $0.0255 per minute

Text message segment $0.0237 per segment (160 text characters/70 text+emoji characters = 1 segment)

Estimate: $10 will give you about 240 outbound calls, 390 inbound calls, and 420 segments

Emails $0.005 per email sent or received

Estimate: $10 will give you about 2,000 emails

Premium Triggers $0.05 per premium workflow trigger actions

Example: You ask for certain data to be pushed to a Google Sheets file

Estimate: $10 will give you 200 premium workflow actions

Content AI Word Creation $0.90 per 1,000 words generated

Content AI Image Creation $0.60 per image generated

Estimate: $10 will give you about 11,110 words or 15 images

NOTE: If you use Content AI for social media post creation, you may want to plan for adding money to your wallet. Users have found that AI is very useful for saving them time when creating social content, however, it may use your wallet credits up quickly.

NOTE: Phone number carrier registration monthly campaign may vary between $1 to $20 per month, depending on mobile carrier approval (we cannot change this as it is dictated by mobile carriers)

How Do I Know How Many Segments The SMS I Want To Send Will Use?

For the messages we generate for appointment reminders, we generally keep it to an effective 1 segment to maximize usage.

Remember, just like when you're using your phone to send someone a text/SMS...short and effective is best.

How Are Emails Sent From Your System?

There are several ways we can set it up.

1) Recommended Option - Utilize your website domain to create email sending capability that allows emails to come from your brand. This is done in your domain DNS records. (We help with setting this up.) We also offer dedicated email IP addresses to help increase your email deliverability for an additional monthly charge to your wallet.

2) If you have a Gsuite/Google Workspace business account, we can connect it...however...Google has set limitations that come with sending emails from all Google accounts.

3) Use our system's email, however it would come from one of our Fervent Fox domains which may not align with your branding goals.

NOTE: With Google and Yahoo's new February 2024 rules, we also audit your current DNS records to ensure you have the correct setup and Unsubscribe features necessary to help you comply with their new rules.

This is something we go over when we have our first setup call so we understand your goals.

If We Want A Done-For-You (DFY) Website, What Does That Include?

We have a website layout that is optimized for EESystem business owners that includes information necessary to help lead someone to book a session and includes optimized Search Engine Optimization (SEO) for your local area. A few examples are: home page, how the system works, how to care for yourself pre/post session, a FAQ page, buying a package, and booking.

To keep you compliant with USA communication laws we also include email subscribe/unsubscribe, SMS Optin, and policy pages. You can provide your Privacy and Terms Of Service policies or use our built in templates.

As a BONUS we even have Infrared Sauna info, package, and booking pages for those who offer Infrared Sauna.

For those who desire to offer coupons, we have a shop section that allows your customers to buy a product with a special coupon code.

The standard price for our DFY website is a one-time payment of $2,997 with the purchase of a monthly or annual platform plan.

As part of the DFY website you can have us change the pricing, color pallet, and fonts to match your brand. Plus if you have specific images and videos you want to use, all you have to do is provide them and tell us where you want them on the pages. If you want something similar but different to our DFY website, please let us know and we will let you know if we can accommodate your request.

The DFY website typically takes a few days to build if you are only requesting minimal tweaks like pricing, fonts, and colors. If you are asking for more complex changes, it may take longer to build.

Can You Connect My Facebook/Instagram Ads To Your Platform?

Yes! We have a lead form integration for Facebook that allows your leads to auto populate into the CRM when you use Facebook's lead form feature during ad setup. Then we can have automation do what you want next. It may be as simple as sending an email to the lead or as sophisticated as having the system call you and so you can connect with the person.

You can also connect your Facebook ad account to the platform to show you statistics on your ads.

Is This A Long-Term Contract?

NO WAY! We don't like those either so we DON'T require long-term contracts.

Our agreement is per billing cycle. Meaning, if you choose the monthly billing cycle, you are on a Month-to-Month agreement. If you choose annual billing, you are on a Year-to-Year agreement. You can cancel at anytime and your account will be closed at the end of your next billing cycle.

We do require you to sign an agreement though. The agreement is more about outlining the scope of work, working together, confidentiality for both of our businesses, easy to understand billing, and written permission to create on your behalf.

Why Is There A Setup Charge For A Free Trial?

The reason we charge a One-Time Setup is because we have to cover the costs of setting up your system, paying to register your new virtual phone number with the mobile carrier board, and we give you the balance of $30 to your communication wallet credit to cover your communication charges during the trial period.

If you choose the annual plan, we will give you a one-time credit of $300 (your setup amount) on your account towards your first annual payment.

How Long Does It Take For The System To Go Live?

It typically takes us a few days to complete everything for the system to go live, as long as you've provided the necessary information for us to set it up and grant us the access we need to connect third-party services.

For SMS capabilities we usually say within 7 days after we submit the application, however, we have heard of cases where the mobile carrier board has taken longer to approve new requests. Unfortunately, carriers won't allow delivery of SMS messages until the carrier board approves the application.
